The essentials
Establish party size, budget and dietary needs. Ask about the proposed menu, deposit, cancellation conditions, table duration and payment. Appoint one contact and send final numbers within the agreed deadline.
- Use one organiser for communications.
- Include drinks and supplements in the budget.
- Collect requirements before the deadline.
- Agree on payment before the meal.
Set the size, cost and format
Distinguish invited, confirmed and undecided guests. The venue arranges tables, purchasing and staff based on the number you give; a late change may affect seating or the formula.
Specify a quick lunch, seated dinner, drinks event, partial private hire or long shared table. Establish a per-person budget, with or without drinks, so proposals can be compared fairly.
- Minimum and maximum numbers
- Cost per guest
- Realistic arrival time
- Available duration
- Access needs and children
Read the venue’s conditions
A reduced or common menu can help the kitchen serve everyone together. Ask how many choices remain and when to submit them. Clarify deposits, payment guarantees and what is due if someone withdraws.
Conditions may include a shared arrival time, table duration or specified space. Obtain a written record of numbers, price, inclusions and deadlines. Send one consolidated update rather than many partial messages.
Collect requirements early
Ask about allergies, diets, access and young children in time. Give precise information to the venue and wait for confirmation before promising an adaptation.
Protect privacy by sharing the information needed for the meal without unnecessary personal details. On the day, anyone concerned should reconfirm their requirement with the serving team.
Prepare payment and departure
Ask whether the restaurant accepts several payments, subgroup payments or one invoice. Splitting numerous individual items can delay a large table’s departure; agree on the method before dessert.
Check drinks outside the package, additional bottles and supplements. If a business invoice is required, provide the relevant billing information before the meal.
Common questions
How many people make a group?
There is no single threshold used by every venue. Ask when its particular group conditions begin.
Must we all choose one menu?
Not always. It depends on numbers and kitchen organisation. A limited choice may be a useful compromise.
How should I handle withdrawals?
Set your internal confirmation deadline before the venue’s deadline and explain deposit and cancellation conditions to participants.
